A starter AI stack for SME owners
Four jobs, four tools, and a rule for saying no. You do not need an AI transformation programme.
Start from the leak, not the trend
If you run a small or mid-sized business, you do not have a Chief AI Officer. You have evenings, a website that is “fine”, and a team that already answers the same questions.
Ignore category landscapes with forty logos. Pick the journeys your customers actually walk — usually notice → enquire → book → deliver → care → repeat — and put AI only where a human is repeating themselves or a visitor leaves unanswered.
Four jobs that pay rent
1. Be answerable on the website. Most SME sites still make people hunt. A content-grounded website agent (HEA-World is built for this job) can answer from your pages, qualify a request, and hand off. That is different from a generic chat bubble that guesses.
2. Stop losing what was said on calls. If quotes depend on memory, use a meeting recorder such as Fireflies. The proposal should quote the customer.
3. Draft, then edit. ChatGPT, Claude, Gemini, or Mistral will write the first version of a service page or follow-up. If the customer record already lives in HubSpot, use HubSpot Breeze — Copilot and Content Agent — instead of pasting CRM context into a general chat. You still own the claim. If you publish invented specifics, the agent on your site will eventually repeat them.
4. Connect the yes to operations. Make (or a similar automation tool) should carry a form or a signed quote into the inbox, the calendar, and the invoice tool. This is unglamorous and usually worth more than another content licence.
A fifth tool you may not need yet
A full helpdesk AI makes sense when you already have a ticket pile. A creative studio (images, voice, video) makes sense when you already know the message. A CRM AI such as HubSpot Breeze makes sense when the CRM is actually used. Buy those when the journey stage is real, not when a webinar made you anxious.
One governance rule
Anything that speaks to a customer in your name needs a source of truth and a human escape hatch. Anything that only helps your team draft can be looser. Do not mix the two in one unnamed chatbot.
